Valve Documents and Test Records Before Shipment
Check that certificates test reports markings photos release evidence and packing records identify the ordered valves and meet the agreed document schedule.
Use this when
Use this when the order needs pressure tests, material records, inspection photos, nameplate checks, packing records, export files, or buyer-side release before shipment.
Decision route
Place the requirement first, then compare offers.
Risks to avoid
These points often change material, test scope, delivery, or cost.
Review focus
Keep the review tied to the actual order, not a generic product name.
A record is useful only when it is traceable
Before shipment, verify that every required certificate, inspection report, pressure-test record, material record, nameplate and marking photo, dimensional check, coating or assembly record, release note, packing evidence, and manual is present, legible, approved where required, and traceable to the exact valve tags and quantities. A generic document set does not prove that the ordered valves met the agreed scope.
Where this release checklist applies
Applies
- Orders with an agreed document or inspection schedule
- Project valve packages and replacement orders
- Factory release review before dispatch
Does not establish
- A document requirement that was never contracted
- Product conformity from filenames alone
- Final site acceptance or installed performance
Inputs needed for a traceable review
- Purchase order and approved valve list
- Tag quantity model size class and materials
- Approved datasheets drawings and deviations
- Inspection and test plan
- Governing standards editions and acceptance basis
- Document register and approval codes
- Witness release and concession records
- Packing marking and shipping requirements
Record-by-record release path
| Record group | Traceability check | Release question |
|---|---|---|
| Certificates and material records | Match heat batch tag and ordered component scope | Is the required certificate type and approval status present |
| Inspection and test reports | Match valve identity test basis results date and signatory | Are acceptance and witness points closed |
| Photos markings and dimensions | Match tag nameplate orientation dimensions coating and accessories | Does visual evidence cover the agreed checkpoints |
| Manuals packing and release | Match model quantity preservation crate and shipping marks | Is the package cleared for dispatch |
Separate product evidence from project release control
Product evidence
- Valve-specific material inspection and test records
- Marking configuration coating and accessory evidence
- Model-specific manual and preservation instructions
Project release control
- Approved document register and review codes
- Witness concessions deviations and punch closure
- Shipping authorization and destination requirements
Common document mistakes
- Accepting a sample certificate without valve traceability
- Reviewing only file presence rather than content and approval status
- Letting quantities tags or model numbers disagree across records
- Treating inspection photos as a substitute for test results
- Releasing shipment with open deviations or missing destination documents
Public checklist and contractual release
Public sources can support a document taxonomy and identify official standard or manufacturer paths. The contract controls which records are required. The manufacturer and inspector must issue traceable evidence; the buyer or appointed project authority must approve submissions concessions and final shipment release under the purchase order.
Publicly usable
- Traceability and completeness checklist
- Official source and manual paths
Approval required
- Contract document schedule
- Acceptance of results and deviations
- Final release for shipment
